Policies and Procedures 2025/26

By reading this document you are agreeing to follow the policies and procedures that Xtreme Cheer and Dance has put in place.

Tuition is payable on the first day of each month, from September 1st to June 1st. Accepted methods of payment include cheque, pre-authorized credit card, or pre-authorized debit. A late fee of $25 will be applied to all payments received after the third day of the month. Any previously arranged alternative payment dates must be strictly adhered to. To withdraw from classes or participation at Xtreme Cheer and Dance, a written notice must be submitted with the following policies.

 

Recreational Dancers/Recreational Cheerleaders:

Written notice must be submitted 30 days prior to the first day of the following month to halt cheque deposits or pre authorized withdrawals. This policy applies from September to June. 

 

Competitive Dancers/Cheerleaders:

Written notice must be submitted 30 days prior to the first day of the following month to halt cheque deposits or pre authorized withdrawals.  This refund policy excludes notices given on or after January 1st; Competitive Dance and Cheer are team based Arts/Sports. Your commitment to your team to finish out the year is expected. Fees will be taken up to and including June 1st. 
 

Refund processing can take up to 30 days.

Additional charges may be added to your account for the following:

-Insufficient Funds (NSF) Cheques and Direct Debits - $25

-Account Closure Fee: $45

-Stop Payment Fee: $45

-Visa Decline Fee: $10.00 per decline. Please note that all declined credit card transactions will be resubmitted three days subsequently. Should a family incur two late payments, they will be required to transition to pre-authorized debit.

Absences must be reported via email to the official business email address. Participants who accumulate an excessive number of absences, as determined by their instructor, during choreography and competition periods will be required to schedule make-up sessions at the athlete's expense. These sessions will be conducted individually with their respective instructor. Cheerleaders with three or more unexcused absences between September and December may be dismissed from the team for the initial competition. It is imperative that both students and parents acknowledge the commitment involved in enrolling in a class, which may necessitate the prioritization of attendance over social engagements. Individuals are strongly encouraged to thoroughly review their schedules prior to registration.

 

Competition Fees

Dance and Cheer competition fees will be invoiced one month prior to the due date to provide sufficient notice and ensure registration in events with limited availability. Late fees for Cheerleading and Dance are $50 per dancer. Cheer Competition local fees are non-refundable as of November 1st, and Dance Competition fees are non-refundable as of December 1st.

Pay in Full Rule 1

Tuition discounts provided for full season payments are contingent upon completion of the entire season. Withdrawal from Xtreme prior to the season's conclusion will result in the forfeiture of the discount, and regular monthly tuition rates will be applied retroactively for the duration of the athlete's participation included but not limited to the proper notice given.

 

Pay in Full Rule 2

If a percentage discount is offered for full payment by a specified date, all payments must be received by that date. Failure to remit full payment by the deadline will result in the tuition being recalculated according to the subsequent applicable discount rate.

All costumes utilized by Xtreme Cheer and Dance are either purchased or custom-made. Participants are advised to adhere to designated "costume sizing" and "try-on" periods. Failure to attend scheduled sessions will result in costumes being sized and/or ordered in absentia. A non-refundable costume deposit of $100 per competitive class is required by September 13th. A late fee of $10 per group will be applied to accounts for payments received after this date. The remaining costume balance is due by January 15th. Failure to remit payment by this deadline will result in the assessment of a late charge by the seamstress. It is not possible to provide a predetermined estimate for late charges on costumes, as fees vary depending upon suppliers and seamstresses. Costume fees are non-refundable after October 1st of the respective studio year.

As detailed in the Tuition section, Xtreme maintains a procedure for tuition refunds. All other fees, including registration and insurance are non-refundable. Should a participant withdraw from Xtreme prior to competition, recourse regarding competition fees must be sought directly through the respective competition organizers.

 

 

 

 

Careful consideration is given to the appropriate level placement of each student. Recognizing the individuality of students with varied talents, skills, and abilities, progression rates will differ. The paramount objective is to ensure a comfortable and non-inhibited learning environment. This studio operates on a progressive model, with all classes presenting challenges. It is important to note that consistent class names do not signify a lack of growth or new learning opportunities. Class names serve as identifiers for administrative and scheduling efficiency. Due to the extensive range of classes offered, it is not feasible to alter class names annually.

It is advised to refrain from undue parental pressure that may exceed a child's capacity or interest in dance or cheer. Placing a child in a class based solely on its perceived difficulty or advancement may lead to frustration and self-doubt, potentially resulting in them discontinuing their involvement, thus missing out on the enjoyment inherent in dance/cheer.

The instructor's assessment is of primary importance and must be respected. While it is understandable for parents to perceive their child as excelling, the instructor provides guidance with trained and experienced insight. When addressing a child's concerns, it is crucial to understand their need for empathy. It should be acknowledged that instructors harbor no ill will nor favoritism. The overarching aim is to facilitate each student's potential.

At Xtreme Cheer and Dance, we prioritize a welcoming, community-oriented environment with proficient instructors dedicated to fostering individual development. Instructors undertake judicious decision-making regarding student selection for specific choreographic roles. We advocate for collaborative efforts between parents and instructors to cultivate an understanding that not all students can be selected for every opportunity, while assuring alternative prospects. Our aspiration is to cultivate a supportive and respectful atmosphere amongst students, wherein they find mutual motivation and learning opportunities.

Personal belongings may be stored in designated cubbies. Students are required to label all clothing and footwear. To ensure the security of items, students must return them to their respective cubbies at the conclusion of their session. Unidentified shoes are frequently collected by staff from restrooms and the lobby and placed in the lost and found. Unlabeled clothing items will be disposed of at the end of each month. Cellular phones, tablet computers, and other electronic devices must be deposited in the designated studio basket upon entry to class. Xtreme is not liable for lost electronic equipment.

Students/Athletes:

• Adherence to exemplary conduct is required within the gymnasium/studios at all times.

• Punctuality and consistent attendance at practices are mandatory.

• Fulfillment of team commitments is expected; athletes withdrawing mid-season without a valid justification will be ineligible for placement on elite teams in subsequent seasons.

• Bullying directed towards other Xtreme students will not be condoned. This prohibition extends to interactions within the studio, school, competitions, the community, and online platforms (including but not limited to Instagram, Facebook, Twitter, and Snapchat). Any form of disrespectful behavior will result in immediate disciplinary action, and persistent infractions will lead to expulsion from Xtreme.

• Stunting or engaging in unsafe tumbling practices outside of scheduled practices is strictly prohibited.

• A positive disposition and demonstration of good sportsmanship towards competing teams at competitions and events, as well as within the community and online, are mandatory.

• Respect for Xtreme teachers and staff members must be maintained at all times.


 

All adults including Parents and Teachers:

• Parents/Guardians are obligated to ensure student attendance at all classes and competitions, with punctuality being mandatory. Prior notification to coaches/teachers is required for any anticipated lateness or absences. 

All adults will speak with a respectful tone to each other and to the athletes of the studio. Please understand we all want the best for your children and hope we can communicate in a mutually productive way.  

• All financial commitments pertaining to Xtreme membership must be met in full.

• Any issues, questions, or concerns should be addressed to Karen and Lisa for expedient resolution.

• Strict compliance with competition rules and deference to organizers is expected. Exemplary sportsmanship must be exhibited towards all other teams at competitions, events, within the community, and in online interactions.

• All communication concerning Xtreme coaches, teachers, and other parents/guardians shall maintain a respectful tone. There will be no negative discussion of other students. Decisions rendered by Xtreme teachers and coaches concerning team placements, formations, and roles within routines are to be regarded with respect.
